Privacy Policy
This Privacy Policy explains how [PLACEHOLDER: company legal name] ("WideRig", "we", "us") collects, uses and shares information when you use the WideRig mobile app, the WideRig Telegram bot, the owner dashboard at app.widerig.ai and this website (together, the "Service").
1. Information we collect
Account information
- Name, email address and password. Passwords are stored only as a secure one-way hash.
- Your role (driver or fleet owner) and the Terms/Privacy version you accepted, with the date.
Location
- Precise location while you use the map — to show your position and guide you along the route.
- Precise location in the background during an active trip — WideRig collects location data to guide you along your permit route, update trip statuses automatically and show the load's position to your dispatcher, even when the app is closed or not in use. This runs only while a trip is active; Android shows a persistent "Trip active" notification. Tracking stops when you end the trip.
- We keep your latest reported position, the locations attached to trip status events (for example "Arrived at pickup") and a trip track: a point roughly every 150 m (500 ft) while the app reports your location. The track is used to compute miles driven in each state for IFTA fuel-tax reports, which you and your company can view and download.
Documents and trip data
- Permits and rate confirmations you upload in the app or send to our Telegram bot (PDF files).
- Information we extract from them: route, origin and destination, dimensions, weight, restrictions, permit numbers, and any vehicle or company details printed on the document (for example tag numbers or VIN).
- Trips, routes, stops and statuses you create.
Messages
- Messages you send to the in-app AI assistant or the Telegram bot, and problem reports you submit.
- If you link Telegram: your Telegram chat ID.
Device and technical data
- A push notification token, so we can send trip notifications.
- App events and error logs (for example which trip status was set and when, or that an upload failed) to run and fix the Service.
Microphone (voice questions)
If you tap the microphone to ask the assistant by voice, your phone's own speech-recognition service (Google on Android, Apple on iOS) turns the question into text under that provider's terms. WideRig receives only the resulting text, which is handled like a typed message; we never receive or store voice recordings. Answers are read aloud by your phone's built-in voice.
We do not access your contacts, photos or other files on your phone. The app only opens the PDF files you choose or share with it.
2. How we use information
- To read your permits and build truck routes that follow them;
- to guide you along the route and update trip statuses automatically;
- to show your trips, statuses and the load's position to your company (dispatcher / fleet owner);
- to answer your questions in the AI assistant;
- to send trip notifications;
- to provide support, keep the Service secure, and fix problems.
We do not use your information for advertising, and we do not sell it.
3. Who we share information with
- Your company. If you drive for a carrier or fleet that uses WideRig, its owners and dispatchers can see your trips, documents, statuses and, during active trips, your location.
- People you send a tracking link to. If you tap "Tracking link for customer" on a trip, anyone with that link (e.g. the broker or consignee) can see the trip's origin and destination, its route, the latest status, and the truck's current position and estimated arrival. They do not see your name, the rate, the permit or your documents. The position stops showing once the load is delivered, and the link expires after 14 days; you can turn it off in the app at any time.
- Service providers that process data only on our behalf to operate the Service:
We do not send your name or email to mapping providers.

- Business transfers. If we are involved in a merger, acquisition or sale of assets, information may be transferred as part of that deal, subject to this Policy.
4. How long we keep it
- Account, trips and documents: until you delete them or delete your account.
- Latest location: overwritten with each new report; deleted with your account.
- Trip track: up to 4 years (the IFTA record-keeping period), or until you delete your account.
- Event and error logs: up to 12 months.
- After deletion, residual copies in backups (if any) are removed within 30 days.
5. Your choices and rights
- Location: you can deny or revoke location access in your phone's settings at any time. Without background location the app still works while it is open.
- Notifications: can be turned off in your phone's settings.
- Delete your account: in the app (Profile → Delete account) or as described on our account deletion page. This permanently deletes your account, trips, documents and location data.
- Access, correction, copy: email us at [PLACEHOLDER: [email protected]]. We will respond within 30 days.
- California and other US state residents: you have the right to know, access, correct and delete your personal information and to not be discriminated against for exercising these rights. We do not sell or "share" personal information for cross-context behavioral advertising, and we use precise geolocation only to provide the Service.
6. Security
We use HTTPS encryption in transit, hashed passwords, access controls and unguessable file names for uploaded documents. No system is perfectly secure, but we work to protect your information and will notify you of a breach where the law requires.
7. Children
The Service is for professional drivers and trucking businesses and is not intended for anyone under 18. We do not knowingly collect information from children.
8. Where data is stored
Data is stored on servers located in [PLACEHOLDER: server country — verify with hosting provider] and processed by the providers listed above, which may be located in the United States or other countries.
9. Changes
If we change this Policy, we will update the effective date above. For significant changes we will ask you to review and accept the new version in the app.
